BUILT AROUND THE WORK YOU NEED TO FINISH

From “we have a policy” to “here is how we used it”.

Bring your quality records into one working routine: a current document, a named person, a due date and evidence of the result. Keep responsibility clear when work changes hands or someone asks how a decision was made.

KEEP DOCUMENTS CURRENT

A working version your team can find.

Make a working copy of a licensed document, tailor it to your service and retain its version history. Keep the purchased original available when you need to check what changed.

A useful result: Your team can find the document being used and the context for its review.

FOLLOW THROUGH ON QUALITY WORK

Turn a concern into a traceable next step.

Record an incident, complaint or risk. Give the next action an owner and due date, then connect supporting files or links to the work.

A useful result: A concern becomes a traceable follow-up rather than an isolated form.

SHOW THE EVIDENCE BEHIND A REVIEW

Make decisions easier to follow later.

Use attributed reviews and report exports to explain the records, actions and evidence behind your quality work.

A useful result: A clearer starting point for management reviews and audit preparation.

A WEEKLY ROUTINE WITH A USEFUL RESULT

Keep your audit evidence ready as you work.

Review overdue actions, document reviews, incidents and staff evidence together. Give the next actions named owners, record what was checked and save a weekly readiness summary with its evidence and unresolved gaps. Return next week to the saved history and see what changed.

Both plans include this review. Business adds a management view of owner follow-ups and bulk preparation of documents you are entitled to use. Readiness reflects recorded work and human review; it does not certify compliance or an audit outcome.

Start with Today to see saved priorities, document work and the next step. Open your purchased library to find the documents you are licensed to use.

Create a working copy and adapt it to your service. Review the saved wording before making it current. Version history keeps earlier versions and identifies the recorded review.

Keep incidents, complaints, risks and actions together. Record the facts you know and make missing information visible. Your responsible people still make safety, reporting and review decisions.

In Audit Readiness, begin with the requirements that apply to your service. Link evidence and review the work still needed. An empty score is not a pass, and a recorded review is not an audit certificate.

The new portal has a separate sign-in and access arrangements. Existing customers can continue using the dashboard. New monthly and annual subscriptions are purchased in the portal. Existing dashboard access and contracts are preserved.

SEE VALUE IN A REAL TASK

Your first quality-work cycle.

Use a fictional record in the demonstration. Then agree how the same routine will work for your team.

01 / START WITH ONE DOCUMENT

Make it yours

Choose a licensed policy, adapt it to the service you deliver and retain the original. Check who owns the working version and when it needs review.

02 / CONNECT AN ACTION

Make the next step clear

Record a quality concern or risk, set the owner and due date, and add evidence. Check what the responsible person sees when they return.

03 / REVIEW THE RESULT

Show what happened

Review the record, keep the decision attributable and export a report. Confirm that the result explains the work, not just that a form exists.

KNOW EXACTLY WHAT YOU ARE CHOOSING

Frequently asked questions.

Are document kits included in a subscription?+

Both software plans include 14 baseline policies and procedures to adapt to your service. Specialised document kits are separate purchases, and buying software does not grant every kit. Existing purchased kits remain available under their licences, with or without a software subscription.

Does a lower tier remove essential quality records?+

Both Starter and Business include documents, incidents, complaints, risks, actions, staff evidence, saved weekly readiness reviews, history and exports. Business adds bulk document preparation and a weekly management view of team ownership and follow-ups.

What should we ask to see before choosing Business or Enterprise?+

Ask for your actual acknowledgement, review, access or reporting workflow to be demonstrated in the environment you would receive. Configurable approval workflows, recurring audits, bulk assignments, scheduled reports, automated audit-pack assembly, custom roles and consolidated reporting are not currently promised as included capabilities. Additional implementation or specialist services need a specific written scope.

How do cancellation, the guarantee and failed payments work?+

Open Settings → Billing to cancel automatic renewal, update your card, view invoices or request a refund. Cancellation stops the next renewal and keeps the period you have paid for. The 60-day first-annual-purchase money-back guarantee has human review with a response within five business days; submitting within 60 days preserves eligibility. A failed renewal has 14 days of grace after your paid period ends while Stripe retries. After that, saved records and exports remain available in read-only mode. Unpaid first signups and deliberate cancellations do not receive grace. Australian Consumer Law rights are preserved.

Can I sign up from Facebook?+

The portal payment form is embedded in the page, so you can review the plan and pay in Facebook’s website browser where supported. If your bank or device needs another browser for authentication, follow the secure fallback and return to the same checkout. No charge starts just from creating an account.

What can Ethan help us do?+

The current task guide can help you find and understand the next step. AI assistance does not independently analyse your whole organisation, complete all compliance work or certify an outcome. Your team remains responsible for the facts, decisions and implementation. Ask to see any proposed AI workflow before relying on it.

Does ProviderQMS replace our rostering or payroll software?+

ProviderQMS focuses on quality records, document work and evidence. If you need rostering, care operations, payroll or plan management, explore the multi-vendor marketplace and test how the tools fit together. Explore the multi-vendor marketplace.

What happens to existing customers?+

Keep using your existing sign-in and purchased-file links. Earlier customer subscriptions retain their agreed terms; this plans page does not rewrite an existing contract. Contact us for help with an existing subscription.

Does using ProviderQMS guarantee compliance or an audit result?+

No. Software helps organise records and follow-up. Your service still needs appropriate practice, accurate evidence, competent staff and review against the requirements that apply to it.
